From Food to Logistics: What You Can Do to Make Party Planning Easy and Stress-Free

Hosting your own party or event is often more stressful and anxiety-inducing than it is fun and exciting. Even the most seasoned pros would say that planning an event is not a walk in the park.

However, there are a few methods or tips that can help you make your DIY party or event planning as easy as possible. Follow these tips to make your life easier and your party a smashing success!

  1. Set A Budget First

The budget will set the tone on how difficult planning your party will be. After all, working on a budget can be a bit challenging if you have a lot of requirements. It also gives you a sense of how big of a party you can throw or plan. 

That is why before anything else, it is important to determine how much you are willing to spend on your event, as this will help you in the next decisions you will be making regarding the venue, date, entertainment, food, decorations, invitations, and table and seating among many others. Set up an emergency fund just in case any logistical errors happen. 

Moreover, this will help you identify which of the items enumerated above are the most important and least important to you. 

  1. Identify The Basics (Venue, Date, Time, Guest List) Second

Once you’ve got the budget figured out, the next thing you should do is lock-in the basics for your party, such as the guest list, venue, date and time. By having these booked and confirmed before you do any more of the planning, it will be much easier to negotiate and deal with caterers, suppliers, etc.

This is also when you find out what else you will need to purchase and do for your party.  Will you need tables and chairs? Will you need to clear out the furniture in your home for the party? How about a sound system? Where do you set up the food?

  1. Make A Schedule And Stick To It

Once you’ve gotten the basics down, you will have to come up with a schedule on when you should be able to accomplish and finish all the other arrangements needed for the party. Be conscious of this schedule, and make sure you follow through. As a rule of thumb, start planning your party a month in advance.

Moreover, any type of procrastination will only cause you more stress in the long run. So, if you can help it, do not delay things on your agenda. You’ll be surprised at how easy smooth-sailing things could be when everything is done as scheduled!

  1. Hire A Professional Catering Service

Planning your menu is one thing, but cooking and purchasing everything yourself may cause you a lot more stress than you’d expect. So, why not hire a professional catering service instead? That way, you’ll have one less thing to worry about on the day of the party.

The best thing about a professional catering service is that you don’t have to worry about logistics. If you cook for the party, not only do you have to buy all the ingredients, you also have to buy equipment such as huge pots and pans. There’s also plates and cutlery to think about. All of these could be mitigated by letting a caterer handle the food.

Moreover, a professional catering service will usually have a man and van service to help transport the food and their equipment to your location. So, you won’t have to worry about their logistics, too.        

  1. Enlist Help

Speaking of man and van services, you may also want to hire a man and van company to help you out with some of the errands that need to be run before the party. 

Need someone to pick up the boxes of wine or champagne and take it back to the venue? Or maybe someone to collect and deliver the dining room set you’ve borrowed for the party? How about someone to dispose of the waste after?  A man and van company can handle all that! 

After all, they are helpful not only for moving homes but also for local errands that require the transportation of goods and items from one location to another! The best part? Most man and van services charge half or full day rates, which means you won’t have to pay a ridiculous amount of money for their help!

Aside from man and van services, you may also hire a cleaning company to help you out with the after-party mess! That way, you can focus on relaxing after all that hard work!

  1. Have A “Plan B” Ready

Sometimes, disaster is unavoidable, even when you have the best-laid plans. That is why it is always advisable to have a contingency plan if something goes wrong. 

For example, if your party is supposed to be held outdoors, you would want to have an indoor venue or at least tents on hand just in case it rains. You would also want to have back up performers or entertainment in case your original program falls through.

While not having to deal with a problem of this magnitude is the most ideal, it would save you a lot of stress and frustration to have something ready in case disaster strikes. 

  1. Enjoy The Party

Contrary to popular belief, a host should be able to enjoy their own party. Revel in the fruits of your hard work! Enjoy the food, have some cocktails and socialize with your guests! 

Be in the moment and don’t worry about what could go wrong! After all, you can only be as stressed as you allow yourself to be! Know that you did your best and relax! Let yourself enjoy the party!
